How a Florida employment letter is used in China

China's Foreigner's Work Permit asks for proof of work experience, usually a letter from previous employers confirming your position and dates. Local offices differ: some accept a plain letter on company letterhead, while others want it notarized and authenticated, which since November 7, 2023 means the apostille. If yours does, the company signer signs before a notary, online if they're remote, and we apostille it. Every document needs a sealed Chinese translation.

Getting a employment letter Florida will apostille

A letter on company letterhead with the signer's name and title, signed in front of a Florida notary who completes an acknowledgment in a representative capacity (naming the company) or a jurat. The certificate needs venue, presence or online box, date, ID type and a seal with an active commission, and the contents must match what the consulate requires.

Send HR the consulate's required wording first. If HR is outside Florida, the signer can join our online notarization session with a Florida-commissioned online notary from anywhere: $40 for the first document ($10 notarization fee + $30 technology platform fee) and $20 for each additional document. Notarization is not included in our $220.

State fee for this document: $10 — included in our price. Full details on the employment letter apostille page.

Who receives it in China — and translation

Work permits go through local foreign-expert and work-permit offices; residence permits through public security bureaus' exit-entry offices; companies through local Administrations for Market Regulation; marriages through civil affairs marriage registration offices; and inheritances through Chinese notary offices. The Embassy of China in Washington, D.C. serves Florida, but it no longer authenticates U.S. documents for mainland China.

China generally requires a full Chinese translation sealed by a translation agency, often one registered in China, or by the employer for work-permit files. A Florida translation, even certified, notarized and apostilled, may not be accepted, so ask the Chinese office first.

Work-permit rules require a criminal record certificate issued within six months, and Beijing's marriage registration rules treat a single-status document as valid for six months. Other offices set their own limits.

Why employment letters get rejected

  • Notarized in another state at the employer's headquarters
  • Acknowledgment that doesn't state the signer's capacity
  • Printed, digitally signed PDF with no notarization
  • Certificate missing the presence box or ID line

What it costs for China

$220 per document, $380 for two and $160 each for three or more — the state fee, request form, in-person filing in Tallahassee and FedEx shipping inside the U.S. are included. Shipping the finished apostille to China is a flat $100 per order.

Not included: whatever the issuing office charges for the certified copy or certificate, and notarization (online notarization is $40 for the first document — $10 notarization fee + $30 technology platform fee — and $20 for each additional one).

Common questions

Some local offices require it, others don't. Ask your employer. If it's required, the company signer must notarize the letter first.
Only if a Florida notary notarizes it. With our online notarization add-on, HR signs by video before a Florida-commissioned online notary from anywhere.
Yes, as an officer of the company, in a representative capacity. Some consulates want extra proof from self-employed applicants, such as corporate documents, so check their list.
Yes. Choose international return at checkout: a flat $100 per order, tracked international shipping to any address in China. Shipping inside the U.S. is included.
Not on the U.S. side — no embassy or consulate legalization. China may still ask for a translation; as a rule it should be certified by the translator, notarized and apostilled too.
